Attach a Flow to an Event

This is the step that actually sends your messages.                                        You've built a flow with i'ts steps, now attach it to the performances you want it to run on. Until you do, nothing sends.

Before you start

You need a flow built and ready — see Send an automated SMS or Send an automated email. Remember every step's send time and recipients travel with the flow; you're not setting those here, just choosing which performances get it.

Attach the flow
  1. Go to the Events page and click the event you want to message. You'll see its list of performances.

  2. Click Edit. This opens the screen where you pick performances and assign a flow.
  3. Choose the performances. Every performance with a tick will be changed; unticked ones stay exactly as they are. Filter by date or time to make this quick — e.g. tick only the matinees.

  4. Pick your flow from the dropdown.
  5. Click Update Instances.

The flow now shows against each performance you ticked, and each step is scheduled to send at its set time. You can come back and change the attached flow any time before a step has sent.

Good to know
  • One flow per performance. Attaching a flow replaces whatever was there — including the Default Flow. That's expected.
  • Menus attach on this same screen. If you run pre-orders, you assign menus here too. See Adding menus to events.
  • To stop a performance sending — a cancellation, or one show that shouldn't get the standard message — clear its flow instead of attaching one. See Remove or clear a flow from an event.
If it's not working
  • Messages didn't go out. The performance wasn't ticked when you hit Update Instances, or the flow attached is empty. Reopen Edit and check the flow shown against each performance.
  • Went to the wrong performances. Ticks are per-performance and easy to miss on a long run — use the date/time filter and confirm the count before updating.
  • Sent too early or too late. Send times are offsets from performance start, set on the step, not here. Check the step in the flow.
