Send an Automated Email

Schedule an email for ticket holders. a pre-show email, a post-show survey or an upsell. It's the same flow model as an SMS, with a drag-and-drop editor to customise your email layout. If you're already texting your customers, adding an email step costs nothing extra.

Before you start

Read How flows work in crowdEngage if flows and steps are new. An email is a step inside a flow, exactly like an SMS.

Add an email step
  1. Go to Messaging → Flows. Open the flow this performance uses, or create one with Add Flow.
  2. Click Add step.
  3. Recipients — defaults to everyone booked. Narrow it with the Criteria Builder if needed → Target recipients with the Criteria Builder.
  4. Send time — set the offset from performance start, before or after curtain.

Build the email
  1. Click New email template. Tools run down the left; the canvas is on the right. Bottom-right, switch between desktop and phone preview — check both, most of your audience opens on a phone.

  2. Drag and drop blocks onto the canvas — headings, images, text, buttons — then click any block to edit it. Tools marked with a green star can draft copy for you with AI; use it as a starting point, not a send-ready draft.
  3. Merge tags pull live details (performance name, date, time) from your ticketing system, so one email fits every performance. Add the mobile ticket link with — it's in the special links dropdown.

  4. Brand it. Upload your venue's logo and images so it matches everything else you send. Stock images are available if you need them. Set the email width to around 600–650px — standard for email, and it holds up on desktop.

Save layouts you'll reuse
  1. Any section can be saved as a Block — click the section background and hit the save icon. Saved Blocks live in the Blocks tool on the left, ready to drag into future emails. Build your header once, reuse it everywhere.

If your venue also runs Activity Stream, saved Blocks are shared across both — build in one, reuse in the other.

Attach it, or nothing sends
  1. Save the step. Then attach the flow to your performances — building it doesn't send it. → Attach a flow to an event
If it's not working
  • Nothing sent. Flow built but not attached, or the send time already passed relative to curtain. Check the Events page.
  • Broken on mobile. Width set too wide, or a block that doesn't reflow — recheck the phone preview before saving.
  • Merge tag showing as raw text. The tag name doesn't match what the ticketing system provides.
