Keep your show's marketing materials organized and accessible from within Encore Pro
What Are Show Assets?
Show Assets is a dedicated file storage area within each show in Encore Pro. It's where you keep the production photos, headshots, bios, logos, and banners for a given show — stored directly alongside that show's sales data and campaign activity rather than buried in a shared drive somewhere.
Think of it as a lightweight creative hub for each show: the place your marketing team uploads files once, so anyone building a campaign for that show can find them without a round of emails asking for the right version of the cast photo.
Accessing Show Assets
- Navigate to Shows in the left sidebar.
- Open the show you want to work with.
- Click the Assets tab at the top of the show overview.
Uploading Files
On the Assets tab, click Upload to add files to the show. You can upload images and documents. There's no folder structure — assets are stored in a flat list, so use clear, descriptive file names to keep things navigable across a full season.
Using Assets in Campaigns
When building an email campaign or automation step for a show, any files uploaded to that show's Assets tab are accessible directly from the email designer. Rather than uploading the same image every time you build a campaign, upload it to the show's Assets once and pull it in as needed.
When to Use It
The most useful time to upload assets is before the show goes on sale. If you build your shows in Encore Pro ahead of your ticketing system going live, use that window to get your creative files in place. By the time you're ready to start campaigning, everything is already there.
Common files worth uploading for each show:
- Key art and production photography (cropped for email headers)
- Cast and creative team headshots
- Logos (production logo, sponsor logos if relevant)
- Approved bios or programme copy
- Press images cleared for marketing use
Tips
- Name files clearly —
oklahoma-key-art-landscape.jpgis easier to find at 11pm before a deadline thanIMG_4892_final_v3.jpg. - Upload the email-optimized versions of images (compressed, sized for a 600px-wide email template). Large raw files will slow down your campaign builder.
- Assets are show-specific. Files uploaded to Oklahoma won't appear when you're building a campaign for Kiss Me, Kate. Keep things where they belong.
