Dashboard Sharing, Permissions, and Scoping

Decide who can see a dashboard, who can change it, and what each person's numbers include.

Dashboards are private by default

A new dashboard works like a new Google Doc: only you can see it. Nobody else sees it until you share it.

Your dashboard list shows the owner of each dashboard and who else has access, so you can tell at a glance what's yours, what's shared with you, and what's private.

Sharing a dashboard

You can share with any user in your Encore Pro tenant.

  1. Open the dashboard and click Share in the upper-right corner.
  2. To give specific people access, add them and choose a level for each. Different people can have different levels.
  3. To give everyone else in your Encore Pro account access, choose the level you want for all other users.

Permission levels

  • Can View: open the dashboard, use the filters, and click on charts. They can't change it.
  • Can Edit: change the widgets and layout, and set the default filters.

Scoping: why two people see different numbers

Dashboards follow each user's scoped permissions. If a colleague or outside collaborator can only see certain shows, every widget on every dashboard they open is limited to those shows, even on a dashboard someone else built.

Say someone's access is limited to Romeo and Juliet. They can open your dashboard, but their totals are lower than yours, and where you see a row for every show, they see only the Romeo and Juliet row.

So if two people open the same dashboard and see different numbers, check their scoping first. Nothing is broken.

To restrict someone to specific shows, see Managing Users and Permissions.

Hiding revenue

Scoping controls which shows someone sees. A separate user setting, Can view revenue, controls whether they see money figures at all. Together they cover cases like a partner who needs audience numbers for one production but shouldn't see your financials.

Tips

  • Share the way you'd share a doc. Start private, add the people who need it, and keep edit access to the few who maintain it.
  • Check before you share with someone outside your team. Before you share with an outside collaborator, open the dashboard and check it looks right when limited to their shows.
  • Give viewers a filtered start. Set default filters so people who only dip in open it on the right view. See Custom Dashboards.
