Ticketing Integration Guide: API Import

Not every ticketing platform has a native connection to Encore Pro. For platforms like Vivenu and Saffire, the platform sends your data to Exchange through our Import API. Your data lands in Exchange, we check it there, and only clean data gets pushed to Encore Pro.

The platform builds that connection once and every client on it can use it. For you, that makes this the lighter path. There are no reports to build and no permissions to configure in your ticketing system.

If your platform is new to us

Before any platform sends live data, its integration goes through our Data QA and has to be approved. We review test data in a development environment first, and the platform makes revisions if we find problems. If your platform is already approved, skip this. If it isn’t, your Client Success Manager will tell you where it stands, because it affects your timeline.

The steps

  1. Confirm your platform and your data sharing agreement. Exchange moves data between parties, but it doesn’t replace the contracts that allow it. Agreements covering you, your platform, and Encore Pro need to be in place before we connect a live account.

  2. We set up your space in Exchange. We create your organization and a connection for your platform, with permission to send data in.

  3. We issue access for your platform. We generate a secure credential and share it with your platform’s team. It’s shown once and stored securely on our side.

  4. Your platform sends your data. Your platform sends your shows, performances, ticket types, prices, venues and seating, merchandise, customers, and orders. Orders go over in full each time, and refunds are handled automatically.

  5. We check the data in Exchange. Ticket counts have to match your platform exactly. Revenue can vary by 1–2% as long as the counts line up. We trace and fix anything off before it moves.

  6. We push the data to Encore Pro.

  7. We validate it together. Pull a few reports from your platform, such as a recent on-sale, a show that’s already played, or a full day of sales. Compare them to Encore Pro. Once they match, you sign off.

  8. Data keeps flowing. Platforms are expected to send updates in near real time, so new orders and refunds show up shortly after they happen. Onboarding moves on to training and the rest of your setup.

Good to know

  • Your platform decides how things are classified. If you sell memorabilia through an event and your platform treats it as a ticket sale, it comes through as a ticket sale. We don’t reclassify it. If a number looks odd in validation, this is a common reason.
  • Customer updates come through too. Changes to a customer record outside a purchase, like a contact preference, are sent separately, so your audience data stays current.
  • Your platform’s data defines what you can report on. If a field isn’t sent, it won’t be in Encore Pro. We’ll flag any gaps early.
